Scope & content
The Records of the Theatre-By-The-Sea Papers document the history of the Theatre from its opening in 1933 until 1988. The records detail the auditioning, casting, and hiring of the summer companies and junior companies, as well as describing the general operations of the theatre, including payroll, scheduling, and housing arrangements for the members of the company. The records also include photographs, recordings, news clippings, playbills, posters, written histories, correspondence, and set designs. Several folders contain material on Brent's productions at the Garde Theatre in New London, CT in 1981. For a list of the Theatre's productions, please scroll to the bottom of this scope/content note.
The records are divided into the following series:
Series I, Summer Theatre Companies (1967-1988), relates to the cast and crew of the Theatre-By-The-Sea summer stock companies. The series contains applications, contracts, correspondence, resumes, publicity photographs, payroll data, notes, news clippings, and staff and cast lists.
Series II, Playbills (1951-1988), contains playbills for Theatre-By-The-Sea productions from 1955-1958, and 1978.
Series III, Theatre Posters (1953-1999), consists of posters used to advertise the Theatre's productions.
Series IV, Theatre Histories (1955-2006), consists of written histories, biographical sketches, records of construction projects, and a map of the Theatre property.
Series V, Correspondence (1967-2003), consists of business and audience correspondence, as well as a folder of personal letters to Tommy Brent.
Series VI, Photographs (1930s-1982), consists of photographs of productions, cast members, and the Theatre buildings and grounds.
Series VII, Recordings (1971-1985), consists of recordings of Theatre productions converted from cassette tapes to WAV audio file format.
Series VIII, News Clippings (1933-1971) consists of reviews of productions and general articles about the Theatre.
Series IX, Production Designs (1975-1986) contains lighting instructions, drawings of set designs, and notes on stage and set plans for various productions.

Historical note
The Theatre-By-The-Sea, a cultural landmark in the state of Rhode Island, was a complex of buildings on Card's Pond Road in Matunuck that operated as a summer stock theatre for seventy years, from 1933 until 2003. The Theatre building itself began as a barn, built in several sections from 1840 through the late 1800s, on the site of the Browning family farm. The barn was converted into a horse and carriage house in 1891, when George Browning decided to convert his family's house into a hotel for summer tourists, called the Ocean Star. Mrs. Browning sold the Ocean Star in 1919 after George's death.
The Browning farm was bought by Alice Tyler and her husband in 1921 for use as a summer home. After her husband's death in 1928, Tyler began using the property as a girls summer camp. In 1933, Tyler began converting the barn into a theatre. The conversion included the construction of a proscenium and fly space, and the addition of 300 seats to the barn. The proscenium was built by a contractor employing a team of twenty-four shipbuilders from New Bedford, MA. The installation of the technical equipment and lighting also occurred in the summer of 1933, with most of the equipment coming from a vacant vaudeville theater and movie house in Port Chester, NY. Alice Taylor brought in Abe Feder to design the stage lighting. Feder later worked with Orson Welles' Mercury Theater, and designed the lighting for Lincoln Center and the Kennedy Center for the Performing Arts. The Theatre's first show, a pre-Broadway tryout of "Amourette" starring Claire Kummer, opened on August 15, 1933.
Over the years, there were several other construction projects on the theater, including the addition of a balcony, and 300 more seats after the hurricane of 1938 destroyed a section of the roof and the back wall of the theatre. Hurricane Carol in 1954 also caused damage to the Theatre that required repairs. The other buildings in the Theatre-By-The-Sea complex included a ranch house that was used as the business office, a shed which was used to store supplies, a one and a half story costume shed that had been built as a 19th century feed house, and a two and a half story inn that contained the company's lodgings on the second floor, and which had a restaurant and bar for theatre patrons on the first floor. The bar and restaurant, which was housed in an attached porch that had been built in the 1950s, changed names several times as new owners and managers operated the business. The names included the Spotlight Club (early 1950s), Player's Patio (mid-1950s), Backstage Club (1960s), and finally, the Seahorse Grill. With the exception of the business office, all of the buildings were part of the original 19th century Browning farm.
Several times throughout the Theatre's history the business did not open for the summer. The first time, in 1942 and 1943, gas rationing during World War II caused the Theatre to shut down. It opened as a movie house in the summers of 1944 and 1945, and began live performances again after the end of the War, in the summer of 1946. In 1951, Donald Wolin and Harold Schiff began operating the Theatre for Alice Taylor, and brought in stage and screen stars to the theatre each summer. A common arrangement in small theatres at the time, the "package system", allowed the star to choose several of their co-performers. In addition, the "Equity system" mandated that a certain portion of the cast had to be members of Actor's Equity, and the casting costs began to make the star system prohibitively expensive for the Theatre. In 1959, after a particularly bad summer the year before in which J. Thornton Hall and Joseph R. Wishy had taken over as producers, the Theatre was shut down, and was sold to the Bontecou family. The Bontecou's re-opened it from 1960 to 1962, with John Holmes acting as the producer. From 1963 to 1966, however, the Theatre was closed again, largely because construction on Route 1 made access to the Theatre difficult.
By 1966, the Bontecou family had decided to demolish the Theatre. Shortly before the demolition began, Tommy Brent, who had worked at the theatre in 1958 as a press agent, invested his own funds to once again re-open the theatre. When Brent arrived at the site, in March of 1967, he saw that damage to the buildings from vandals and neglect was too severe to fix alone, so he placed an advertisement in the April 27 Narragansett Times for volunteers workers to make the necessary repairs. The Theatre was repaired in time to open the summer season on June 18, 1967.
Tommy Brent acted as producer and manager of the Theatre from 1967 to 1988, overseeing the hiring of actors, technical crew, and stage managers. Members of the cast and crew lived on the second floor of the Inn, and paid for their meals and rent. Brent also oversaw the Junior Company, an apprenticeship program in which young people, generally high school age, would build sets and play bit parts in productions to gain experience in the world of theatre. During Brent's time as producer and manager, then-Governor John Chafee proclaimed Theatre-By-The-Sea Week from July 28-August 3, 1968, and the Theatre was named to the National Register of Historic Places in 1980.
FourQuest Entertainment, consisting of partners Laura Harris (who had worked summers at the Theatre under Tommy Brent), Renny Serre, and Ric Ericson, took over the operation of the theatre in 1989, and purchased it several years later, in 1992. FourQuest made $3 million in renovations to the Theatre, and began using Actor's Equity members in their productions. In 1998, Ericson left FourQuest to produce shows independently, and the following year, Marcy Simpson came to the Theatre as associate producer. Members of FourQuest decided to sell the property several years later, and, after being unable to find a buyer, the Theatre closed in 2003.

Acquisition: |
The records were kept by Tommy Brent, the Producer and Manager of the Theatre from 1967 to 1988, and were donated to the University of Rhode Island Library Special Collections Unit in three accessions in 2006. Many of the yearly theatre company records had been stored in cardboard file boxes, with each year's records contained in one or two boxes. Several years records had separate boxes for the junior companies. Some of the records have minor water damage, including some photographs from the 1975 season, which sustained the worst damage. Brent reviewed the records between June 2004 and August 2005, writing short explanatory notes about the material, people, and events, which he then included with the records. |

The Summer Theatre Companies series contains the papers of Tommy Brent in his role as producer and manager of Theater-By-The-Sea from 1967-88. Several folders contain material relating to Brent's productions at the Garde Theatre in New London, CT, in the fall of 1981, which ran the same shows produced at the Theatre-By-The-Sea that summer.
The majority of the records in the series consist of information about the cast and crew for each summer's company, including records detailing the application, auditioning, and hiring process. Also contained in the series are records relating to the assistantship program for junior company members. Members of the Junior Company would work at the theatre for a small stipend, helping to build sets or playing small parts in the productions in order to gain experience in a theatre.
The series contains applications, contracts, correspondence, resumes, publicity photographs, news clippings, payroll data, memoranda, notes (some inserted into the papers by Tommy Brent when he reviewed the papers in 2004 and 2005), travel arrangements, and staff and cast lists.
The records are arranged chronologically by year, with the folders for each year arranged alphabetically by subject.

Box 24-26, Folder 1-34
The series consists of playbills for Theatre-By-The-Sea productions from 1951-1957 (productions of Donald Wolin and Harold Schiff), 1958 (productions of J. Thornton Hall and Joseph R. Wishy), 1960-1962 (productions of John Holmes), and 1967-1988 (productions of Tommy Brent). Several playbills in the Wolin and Schiff and John Holmes folders are autographed by the stars of the productions. The folder for the 1981 season contains a playbill for a production by Brent at the Garde Theatre in New London, Connecticut. Several folders also contain handwritten notes by Brent indicating playbills missing from that season's productions, and a single folder at the end of the series contains Brent's notes on the organization of the playbills.

This series consists of photographs of productions, cast members, and the Theatre buildings and grounds. The photographs include: a series of six photographs from 1979 by Warren Jagger used in the application for the Theatre's inclusion in the National Register of Historic Places; promotional photographs of cast members and productions taken by William Brophy in the 1970s; fourteen pictures of the early days of the Theatre and Beach Club (circa 1930s) that had been mounted on a piece of board. Several folders in the series consist of photographs of productions that had been stored in photo albums. Photocopies of the albums were made to preserve the original layout of the photographs, and the photographs were then removed from the albums and stored in folders for preservation purposes. The photocopies of the original album layout are included in the series.

Series 7. Recordings

This series consists of recordings of Theatre productions that have been converted to WAV audio files and stored on CD-ROM. One folder at the beginning of the series contains photocopies of notes written by Tommy Brent describing the contents of each cassette tape. The notes consist of information on recording quality, the performances, and the dates that the tapes were reviewed by Brent.
The original recordings were made using both reel-to-reel and cassette recorders, and the reel-to-reel tapes were re-recorded on to cassette. The cassette tapes were then converted to 32-bit WAV files between June 2006 and May 2007, using Audacity audio-recording software. Tapes 32 and 103 were not converted to WAV format because problems with the tapes prevented them from working in the playback equipment. The original cassettes were returned to Brent after the conversion process.
The series is arranged by tape number. The tapes had been ordered alphabetically by Brent, and were assigned tape numbers during the conversion process corresponding to the alphabetical order.

Series 8. News Clippings
Box 36-37, Folder 1-71
The News Clippings series consists of clippings from local newspapers and magazines covering both the Theatre generally, as well as reviews of individual productions. Some of the clippings were glued to paper or cardboard backings that damaged the original articles. Clippings that had been mounted were photocopied to preserve the information, and the photocopies are included in the series.
The news clippings are arranged chronologically by year, then by the dates of the individual productions within each year.
